Event Details & Take Aways

Purpose of Event:

  • Provide relaxed interaction between school families and staff to foster connections.

  • Raise funds through donations and silent auction to offset event costs with any profit going to school needs such as playground equipment and classroom updates.

  • Provide school staff and families with a safe family friendly fall entertainment and dinner at no cost.

Personal Contributions to Event:

  • Co-lead of planning team, assist in client facing interactions and organization and team member delegation of event planning and production.

  • Organized and managed silent auction for virtual and in-person bidding, with in-person display along with online images noting use of QR codes to quickly access each auction item for bidding.

  • Supervise, problem resolution, and provide floating assistance where needed day of event.

  • Executive Summary and post event analysis reports and presentations.

Lessons Learned from the Experience:

  • Good prior planning makes event day run a bit smoother.

  • There will always be last minute unexpected issues that need to be resolved such as late catering delivery and clothing malfunctions with entertainment teams.

  • Building in extra time allows volunteers and staff to have a much-needed break to recover between set-up and start of event.

  • Feedback was not received as desired so need to find additional ways to  promote attendee responses.
